POSITION INFO:
Qualification Matric / Senior Certificate Requirements Valid drivers license Computer literate Exceptional attention to detail and accuracy in data entry and documentation. Outstanding communication and negotiation skills, with the ability to build rapport and effectively resolve conflicts and problems . Exceptional communication (verbal and written communication). Exceptional negotiation skills to interact with internal teams and customers. Strong time management and organisational skills, with the ability to prioritise tasks and meet deadlines. Quality focus. Be able to work under pressure. Be able to multitask . Be able to follow instructions issued first time around. Duties Authorising picking slips on the system within ½ hour of receipt. Notify customers and Sales Executives in the event of: Non- authorisations, Non- payment of account Over the credit limit Updating the 'unauthorised orders' schedule. Prepare weekly credit notes for claims and obtain the Financial Manager's signature, authorising the credit note, prior to processing. Accurate daily posting and allocate receipts to Debtor's accounts, as sourced from the bank statement. Process invoice s and credit notes from the HCS system to SAP daily and prepare the recon schedule when required . Promptly resolve incorrect postings on customer accounts. Print month – end Debtor's statements and distribute to customers by the 1st day of the new month. Monthly detailed age analysis with commentary on all overdue accounts to the Financial Manager by the 3rd day of the new month. Attend to customers' queries and resolve. Timeously inform management of any unresolved problems. Continually reconcile and liaise with customers to keep their accounts up to date. Follow up where needed. Take care to ensure that customer account balance is paid within terms. Immediately report problems on account to the Financial Manager. Follow up with customers on overdue payments, in line with agreed credit terms. Maintain strong relationships with customers, providing excellent customer service and addressing their queries or concerns related to credit matters. Assist with stock take on days communicated in advance. Prepare documents when accounts are handed over to Attorneys. Prepare cash forecast by the 25th of each month and review with the Financial Manager. Monthly follow up on any outstanding SAD500 documents by the 25th New Customer Accounts Open new debtor's accounts within 7 days of obtaining: Bank Codes Credit References ITC Report Obtain Financial Manager's sign off re approved terms prior to opening new account Communicate the agreed terms to the relevant contact person in a timely manner. Continuous maintenance of Debtor's master files, namely contact details, VAT number, address, company information, change of ownership, etc. Monitor and manage the credit control processes, ensuring adherence to company policies and procedures.
