Conferencing and Accommodation Assistant Event Coordinator
About The Job
The CSIR has a vacancy for Conferencing and Accommodation Assistant Event Coordinator in the Conferencing and Accommodation (C&A) Portfolio. The incumbent will be responsible for assisting the Reservations Office with coordination of events and the Financial Administrator with administrative tasks. This position is based in Pretoria.
Key Responsibilities
- Assist Event Coordinators to check venues and welcome clients
- Draw daily follow up report, draw files and enquiry sheets and distribute to Event Coordinators for follow up
- Prepare files and checklists for confirmed bookings
- Update daily and distribute Reservations Office report weekly
- Assist in preparing quotations and event sheets for smaller, low value or repeat events
- Prepare and maintain a filing and archive system
- Financial Administration Assistance
- Facilitate client registration as debtor for all confirmed bookings
- Prepare invoice letters, dispatch invoices and file
- Assist the Financial Administrator to ensure that all financial processes are completed timeously
- Stand in for the Financial Administrator in their absence
- Assist with reception duty as and when required.
Qualifications, Skills And Experience
- A Diploma in Event Management with at least three years¿ experience in Sales, Convention Centre, organising conference and/or hospitality industry or similar environment.

- All international qualifications require an evaluation report / certificate issued by the South African Qualifications Authority (SAQA).
