Purpose of the Position:
- To provide high-level administrative support to the Head of Comms in-market around the delivery of operational, financial and procurement support, handling information requests, and performing administrative duties such as preparing correspondence and scheduling meetings.
- You will be expected to operate on a tactical and operational level – able to juggle many projects and stakeholders at once. The operational delivery of successful campaigns will be your main priority and the responsibility to follow all Group and in-country finance and procurement processes will be your main task
- A key measure of success will be the operational delivery within optimization and standardized ways of working processes.

Global Comms, Corporate Affairs, Commercial Sales, Trade, Customer Care, Customer Operations, Digital Factories, Digital Enablement, Customer Value Management, Customer Experience & PMO, Product, CII, Legal, Regulatory, Finance, HR; General Entertainment, SuperSport, Media Sales, Corporate Affairs, Retailers (both informal and formal), Content Teams
Key External Customers:
Research Agencies; Advertising Agencies, Media Agencies, Digital Platforms, 3rd Party Channels, Events Organizations.
Key Performance Objectives Tasks
Measures
- All operational delivery to be delivered on-time and in-budget
- Deliver Content Discovery and communications Plans on owned platforms
- Overseeing all comms operational delivery processes from brief to delivery
Implement and maintain Mastermind
Budgets, Roadmaps, Systems and Processes
- Keeping track of annual budget and forecast exercises and trackers
- 50% Cash, 50% Barter. Comms budget between 2-3% against Subscriber Revenue, 80% production, 20% creative
- Contribute to budget synergies annually as and when dictated by Group or Procurement
- Adequately prepare campaign readiness processes
- Adequately prepare proof of flighting reports
Adequately prepare campaign effectiveness reporting
Operational Delivery
- Manage and maintain comms schedules
- Make travel arrangements for executives as and when required
- Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping
- Prepare responses to correspondence containing routine inquiries
- Prepare agendas and make arrangements for meetings
- Perform general office duties, such as ordering supplies, maintaining records management database systems
- File and retrieve corporate documents, records, and reports
- Provide administrative support to the department as and when required
- Attend meetings to record minutes
- Compile, transcribe, and distribute minutes of meetings
- Service meetings, including preparation of meeting papers, boardrooms obtaining and preparing briefing materials and presentations, and taking minutes when requested/where necessary
- Assist in managing consumer-centric comms initiatives, visibility programmes and similar projects.
- Work closely with Digital Factories and Structures to deliver on Digital and Social Media KPIs
- Work closely with the Corporate Affairs team in delivering world-class PR around Brand, Product and Content
- Develop & nurture 3rd party relationships, build effective working relationships with existing providers and vendors
- Manage campaign budgets, channels and expenditures to meet efficiency targets
- Share best practice with the wider business & drive continued innovation
Compliance
- Comply to all finance, procurement and payment processes and policies across Group and in-country
- Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures
- Interpret administrative and operating policies and procedures for employees
- Set up and oversee administrative policies and procedures for offices or organizations
Ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the office
Qualifications
- Secretarial Diploma or Equivalent NQF Level 5 Qualification
Or a Marketing/Comms qualification
Experience
- A minimum of 3-5 years’ Secretarial/Office Administrative experience or Equivalent
Ideal candidate would have been a ‘brand manager’ either in this organization or another before.
