Duties/Pligte
- Providing accurate, timeous information and guidance, including financial implications, to students, parents, funders and internal staff via email, telephone, virtual platforms and in-person.
- Providing funders with statements and results as per request.
- Interpreting bursary policies and applying them appropriately in unique or complex student cases and escalating when necessary.
- Adhering to all bursary and client service SOPs, process flows and compliance checklists.
- Building and maintaining professional relationships with internal stakeholders (Finance, Faculties, Student Affairs, ICT, Residence, Fund Management) and external funders, sponsors, donors and government entities for contract terms, data requests, reporting and compliance.
- Resolving conflicts between stakeholders (e.g. student versus funder requirements) and attending bursary meetings.
- Managing confidential and sensitive student financial data.
- Actively participating in strategic planning sessions within the Student Finance Division.
- Providing operational insight to improve bursary processes, systems and service delivery.
- Capturing and updating fund setup information (contracts, guidelines, allocation rules) on SUNStudent or relevant systems.
- Ensuring that bursary and loan rules and eligibility criteria are correctly applied in system configurations.
- Monitoring bursary allocation patterns, utilisation, disbursement timelines and student outcomes.
- Benchmarking bursary administration against other institutions and best practices.
- Identifying trends, risks, inefficiencies and improvement opportunities.
- Processing bursary awards, allocations, deposits and disbursements on the system.
- Performing monthly and year-end reconciliations on the General Ledger and being audit ready.
- Coordinating activation of departmentally funded bursaries and refunds.
- Supporting workload distribution across the bursary team.
- Assisting with onboarding/training new bursary staff.
Job Requirements/Pos Vereistes
- A relevant bachelor's degree (NQF 7) in Finance/Accounting or equivalent with three years' experience, OR a national diploma in Finance/Accounting (NQF 6) or equivalent with five years' experience.
- Demonstrated experience of working with bursary or student finance systems.
- Experience in financial reconciliation and allocation of funds.
- Experience in communicating with multiple stakeholders (students, funders, finance departments, auditors, senior management).
- Financial software or ERP experience (e.g. Oracle, SAP, ITS).
- Advanced computer literacy, including in MS Office.
- High-level numerical accuracy and attention to detail.
- Strong data capturing, data validation and record management skills.
- Effective planning, organisation, time management and prioritisation.
- Proven ability to work in a high-pressure, deadline-driven environment.
Recommendation/Aanbeveling
- Knowledge of NSFAS, government and private funder contracts.
- Exposure to audits, compliance checks and reporting requirements.
