QUALIFICATIONS
Grade 12 or Higher
EXPERIENCE:
Minimum of 5 years’ experience as a Facility / Building Manager
Computer literate
DUTIES
Office Admin
To enforce Body Corporate Conduct Rules in the building
To ensure the smooth day to day operation of the Body Corporate Office
To answer and direct phone calls
To deal with all enquiries and all CSOS matters
Plan meetings, take detailed minute, circulate the minutes and keep record thereof
Write, distribute emails, correspondence, memos, letters and other forms
Assist the Trustees and the Managing Agent in the preparation of regularly schedules reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact list
Act as first point of contact for internal and external clients, owners, residents and Managing Agent
Liaise with Trustees and Managing Agent to handle complaints, requests and queries from owners and tenants
To maintain a user-friendly environment at the front office and reception area
Reconcile petty cash on last day of every month
Collect adhoc parking money and submit reconciliation on the last day of every month
Staff
To supervise the staff in their daily duties
To create and maintain a roster in terms of staff cleaning of the building
Daily inspection of the staff on and off duty
Daily inspection of the duties performed by the staff
Maintain staff records from sick leave, vocational leave, time off, and disciplinary records
Conduct disciplinary procedures in respect to staff
Keep track and advise the Trustees of the contracts of staff members
Contractor Liaison:
- Coordinate with external contractors to address specialized maintenance needs beyond internal capabilities.
- Monitor and evaluate contractor performance to ensure work meets quality and safety standards.
Compliance & Safety:
- Ensure all maintenance activities comply with relevant regulations, building codes, and safety standards.
- Obtain certifications from contractors for work undertaken.
- Promptly address any potential safety hazards and contribute ideas for improving overall safety in the complex.
- Responsible for the health and safety of the maintenance staff.
- Communication:
- Provide responsive service to maintenance requests from Trustees and communicate effectively regarding the status of repairs and maintenance projects.
- Maintain a professional and courteous atmosphere in all resident interactions.
- Experience:
- Minimum of 5 years’ experience in maintenance and supervisory roles within a residential or similar setting.
- Demonstrated experience in performing hands-on basic maintenance tasks (plumbing, electrical, painting, carpentry, etc.).
- Technical Skills:
- Strong troubleshooting and problem-solving ability.
- Proficiency in handling basic hand tools and maintenance equipment.
- Leadership & Communication:
- Proven leadership skills with the ability to train, motivate, and supervise a small maintenance team.
- Good verbal and written communication skills.
