Core Duties of an Assistant Facilities Manager
1. Building & Maintenance Management
· Assist in overseeing daily operations of the facility
· Coordinate preventive and corrective maintenance
· Ensure HVAC, electrical, plumbing, and other systems function properly
· Liaise with contractors and service providers for repairs
2. Health, Safety & Compliance
· Ensure the workplace complies with health and safety regulations
· Conduct regular inspections and risk assessments
· Support implementation of emergency procedures (fire drills, evacuation plans)
· Maintain safety records and incident reports
3. Vendor & Contractor Management
· Help source, negotiate with, and manage external suppliers
· Monitor contractor performance and service quality
· Ensure work is completed on time and within budget
· Verify compliance with safety and contractual standards
4. Space & Asset Management
· Assist with space planning and office layout
· Track and manage facility assets (furniture, equipment, tools)
· Support moves, relocations, and workspace optimization
5. Budget & Cost Control
· Help prepare and monitor facility budgets
· Track maintenance and operational expenses
· Identify cost-saving opportunities without compromising quality
6. Administrative & Reporting Tasks
· Maintain records (maintenance logs, contracts, compliance documents)
· Prepare reports on facility performance and issues
· Use facilities management software (CAFM/IWMS systems)
7. Stakeholder & Customer Support
· Respond to staff or tenant queries and service requests
· Ensure high levels of customer satisfaction
· Communicate effectively with internal departments
8. Sustainability & Energy Management
· Support energy efficiency initiatives
· Monitor utility usage (water, electricity)
· Assist with sustainability programs (waste reduction, recycling)
9. Project Support
· Assist in renovations, upgrades, and improvement projects
· Coordinate timelines and supervise project execution
· Help ensure projects meet design, safety, and cost requirements
Qualifications:
· Civil Engineering
· Construction Management, Building & Human Settlement Development
· Quantity Surveying & Construction Economics
. Quality & Operations Management
Or related qualifications
Must have a valid driver’s license
Status: Junior Position (0-2years experience)
Experience in the construction industry will be considered an added advantage.
