Job Description
IPASA is looking for a dynamic individual who is passionate about philanthropy to join our unique thriving and growing organisation. We are looking for a multi-skilled, multi-talented; high-energy multi-tasker who has the skills and expertise in running operational and administrative systems to support the growth of our work in supporting and strengthening independent philanthropy in our country.
This unique individual will welcome complexity and diversity in their job and enjoy working in a small team. Working very closely with the Executive Director, the person will play a vital role in supporting the leadership of IPASA through the management of the administrative and operational activities involved in implementing the organisation’s strategy.
Duration
- This is a part-time, hybrid position requiring some days working in our Cape Town office thus only applicants who are currently residing in Cape Town will be considered for this role.
- The contract will be for 30 hours a week, for a 12-month period, starting in July 2026, with a possibility for renewal depending on funding availability.
Roles and Responsibilities
Governance Administration
- Managing the scheduling of Council and Subcommittee meetings and taking and producing meeting minutes for these meetings.
- Managing and scheduling of the Annual General Meeting and taking and producing meeting minutes.
- Assisting by ensuring compliance of all statutory requirements by filing and tracking all necessary documents to relevant statutory bodies.
- Maintaining up-to-date due diligence requirements for funders and members.
Programmatic And Operational Administration
- Managing and maintaining an effective online office filing system for the organisation.
- Assisting ED with maintaining communications and relationships with IPASA’s service providers.
- Co-ordination and assistance with logistics for all member exclusive and non-member inclusive online and in-person meetings and events, as well as internal governance and sub-committee meetings.
- Assisting the Operations Manager with managing and maintaining an efficient IPASA membership application process and relationship.
- Managing and completing the organisational annual event statistics and keeping the annual calendar up to date.
- Assisting with collating statistics, information and budgets for proposals and reports.
- Creating new databases and updating existing databases.
- Assisting with requirements for the Annual Philanthropy Symposium.
- Assisting the team and members with administrative support.
Financial Administration
- Supporting bookkeeping procedures through managing payment requisitions, loading payments on the bank.
- Invoicing and following up for funder initiative grant payments.
- Preparing and filing supporting documentation for all transactions in accordance with audit standards.
- Assisting with requirements for the Annual Audit.
Qualifications And Requirements
- A related degree or diploma
- A minimum of 5 years’ experience in a similar role
- Previous experience working for an NPO will be advantageous
- Strong knowledge of and experience in administration and operations coordination
- Excellent communication skills both verbal and written
- Excellent organisational skills
- Good interpersonal skills
- Strong multitasking abilities
- Good time management skills and ability to work independently
- Excels at operating in a fast pace high pressure environment
- Proven ability to work in a team
- Ability and resources to work from home
- Excellent Technical skills and proficient in Google suite, Excel, Word, Outlook.
- Knowledge of Mailchimp, Canva and WordPress.
