Overview
We are seeking a highly organized and detail-oriented Administrative Assistant – II to join our dynamic team. This role provides essential support to our office operations, ensuring smooth daily functions and excellent customer service. The ideal candidate will possess strong office management skills, have previous Business Office experience, proficiency in various computer applications to include Microsoft Office, and the ability to handle multiple tasks efficiently and work with frequent interruptions. Bilingual abilities and experience in a medical setting are a plus, making this position ideal for a versatile professional committed to excellence in administrative support.

Duties

  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office Suite for document creation, editing, and communication
  • Coordinate calendar management and appointment scheduling for multiple departments
  • Financial Tasks to include preparing reports.
  • State reporting.
  • Provide exceptional customer service by addressing inquiries and complaints via phone, email, or in person
  • Document Management
  • Assist with personal assistant responsibilities as needed, including travel arrangements and/or special projects
  • Maintain high standards of phone etiquette and professional communication at all times
  • Ability to maintain confidentiality at all times

Experience

  • Previous office experience with a strong background in clerical and administrative roles is required. Previous Business Office experience in a medical setting is a plus.
  • Proven experience with office management software such as Microsoft Office and Google Workspace
  • Familiarity with data entry, bookkeeping, and filing systems is highly desirable
  • Experience in customer service roles preferred
  • Bilingual proficiency (English/Spanish or other languages) is a valuable asset
  • Demonstrated organizational skills with the ability to manage multiple priorities efficiently
  • Strong typing skills along with excellent proofreading and time management capabilities
  • Must be a team player and get along well with others.
