Duties
- Operate multi-line phone systems, handle incoming calls with excellent phone etiquette, and route messages accurately
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Perform data entry tasks using Microsoft Office, core applications and QuickBooks for bookkeeping and record-keeping purposes
- Receive, sort, and distribute mail and deliveries
- Organize files, maintain office supplies inventory, and ensure proper filing systems are in place for easy retrieval of documents
- Support calendar management by scheduling appointments, meetings, and reminders for staff members
- Assist with office management duties such as coordinating supplies, and ensuring equipment functionality
- Provide customer support by addressing inquiries promptly and professionally via phone or email
- Proofread documents for accuracy and clarity before distribution or filing
- Handle clerical tasks including photocopying, scanning, mailing, and preparing reports or presentations
- Previous office experience in administrative roles is highly preferred
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Demonstrated experience in customer service or customer support roles with professional phone etiquette
- Proven ability to manage time effectively while handling multiple responsibilities simultaneously
- Clerical experience including data entry, filing, proofreading, and calendar management is essential

Pay: $40,000.00 – $48,000.00 per year
