PURPOSE OF THE JOB:

To manage Store Administration and HR/L&D processes in the store.

Job specifications/responsibilities will include the following:

HR administration in store:

  • Implement and maintain systems to ensure that HR Administration is effectively implemented in the store
  • Monitor to ensure that all relevant HR administrative data is collated and sent to relevant person in Central Services
  • Analyze trends and implement measures to ensure increased productivity
  • Effective support of the HR team on ad hoc basis
  • Follow up on referrals
  • Conduct price surveys on competitors

  • Implement SWOT analysis on Customers (Strengths/Weaknesses/Opportunities/Threats)•Complete customer service surveys on a monthly basis

Finance administration:

  • Implement and maintain systems to ensure that Finance Administration is efficiently implemented in the store in line with applicable policies and procedures
  • Monitor and ensure that all relevant data is correct and sent to relevant stakeholders timeously
  • Effective support of Finance team on ad hoc basis
  • Efficient and accurate record keeping of related
  • Prepare, compile and analyze management accounts
  • Daily balancing of accounts
  • Loading of supplier deals onto the system
  • Extracting daily and monthly reports and analysis thereof for the Store Manager
  • Assist in management of cash office
  • Dealing with staff issues; scheduling and control of expenses

Building effective stakeholder relationships:

  • Build and maintain effective relationships with store managers , suppliers and customers to ensure sustainability in the business
  • Build and maintain good consultative relationships with Massmart head office Finance team so as to facilitate effective upwards and downwards communication

Employee management:

  • Ensure that staff is performance managed, appraised and developed
  • Monitor staff attendance to ensure optimum productivity
  • Advise and coach store and line managers in the need and effective use of a performance management system
  • Minimize shrinkage and breakages ensure that your team members know, understand and adhere to company rules and procedures.
  • Investigate and/or Report suspicious occurrences or people to management and security
  • Ensure that staff is trained on all relevant safety procedures as per OHS Act and all compliance training in liaison with L&D Team
  • Control the time and attendance clocking system – including checking of daily reports, submitting monthly overtime to payroll; together with any payroll adjustments
  • Controlling leave records and register and submitting documents to payroll department
  • To co-ordinate recruitment of new employees, training and development, and staff scheduling
  • To assist supervisors with staff discipline

Minimum Academic, Professional Qualifications and Experience required for this position

Requirements:

  • Grade 12 (Matric) or similar qualification.
  • Minimum 5 years relevant experience in FMCG at supervisory level
  • Computer literacy; proficient in excel, word and outlook
  • Experience on SAP
  • Managerial experience in Retail preferable
  • Financial acumen and knowledge of basic accounting, income and expenses
  • Knowledge of the specific departments and the inherent requirements essential
  • Strong communication skills both verbal and written
  • Ability to work independently and work under pressure
  • Ability to be a team player and manage subordinates
  • Strong customer focus
