Key Responsibilities
- Provide procurement and administrative support to managers, including purchase requisitions, purchase orders, goods receipt processing, and procurement administration on SAP and COUPA systems.
- Assist with the preparation and coordination of budgets, forecasts, OPEX expenditure tracking, and monthly variance analysis in line with company guidelines.
- Monitor and ensure accurate allocation of costs to the correct cost centres and cost elements while maintaining expenditure within approved budget parameters.
- Coordinate monthly variance reporting by analysing expenditure trends and obtaining explanations for variances.
- Drive cost efficiency initiatives through continuous investigation and improvement of asset utilisation and distribution cost management.
- Apply scoring matrices accurately across all required operational modules.
- Support stock management activities, including monthly stock takes, ICCs, stock balancing, and the administration of stock losses and write-offs.
- Supervise and manage administrative staff, including shift roster planning, task allocation, and performance support.
- Maintain accurate administrative records, filing systems, and operational documentation in compliance with company procedures, SAP requirements, and ISO/SABS standards.
- Prepare and distribute daily, weekly, and monthly operational and management reports.
- Promote continuous improvement by identifying opportunities to enhance business processes, operational efficiency, and service delivery.
- Ensure compliance with company policies, procedures, housekeeping standards, and 5S audit requirements.
- Participate actively in team meetings, MDWT initiatives, and activities that promote positive staff relations, effective communication, and team morale.
Key Performance Indicators
- Timely completion of daily, weekly, and monthly reports.
- Truck turnaround time maintained within operational targets.
- Accurate stock counts and stock take processes.
- Compliance with SAP, ISO, and company procedures.
- High housekeeping audit scores in line with 5S standards.
- Strong employee attendance, teamwork, and communication.
- Reduction in incidents and accidents within the department.
- Continuous improvement and innovation within operations.
Minimum Requirements
- Qaulification: Diploma in Logistics, Supply Chain, Operations, or related field
- Experience in warehouse administration and stock control.
- Working knowledge of SAP systems.
- Strong administrative and reporting skills.
- Strong Microsoft Office skills, particularly Excel.
- Good communication and leadership abilities.
- Ability to work under pressure and meet operational deadlines.
- Knowledge of ISO standards and warehouse housekeeping principles will be advantageous.
