Job Function:
To oversee the day to day Accounts Payable (AP) operations, ensuring accurate, timely, and compliant processing of vendor and subcontractor transactions. The role is accountable for leading the AP team, ensuring KPI/SLA delivery, maintaining strong financial controls, supporting month end close processes, and driving operational excellence within the Procure to Pay (PTP) environment.
Key Accountabilities
- Lead, mentor and manage the Accounts Payable team to ensure optimal performance and service delivery.
- Plan and coordinate daily and weekly work allocation to ensure uninterrupted AP operations.
- Build a learning and development culture within the team by coordinating training plans and continuous coaching.
- Conduct performance evaluations and manage recognition, rewards, and skills development.
- Foster a high performance, customer centric, and compliant work environment.
- Oversee and sign off trade creditor reconciliations (monthly, bi monthly, weekly).
- Oversee and sign off subcontractor reconciliations (monthly, bi monthly, weekly).
- Review and approve invoices, payments, open POs, and related AP transactions.
- Monitor and review daily process controls and ensure adherence to governance, compliance, and internal control frameworks.
- Manage escalations and provide resolutions timeously.
- Oversee weekly, monthly, and ad-hoc payment runs, ensuring accuracy, compliance, and proper approvals.
- Liaise with all relevant stakeholders to ensure aligned and efficient payment processes.
- Monitor vendor and subcontractor accounts to prevent financial exposure.
- Lead and manage the month-end AP closing process, ensuring deadlines and quality standards are met.
- Prepare and analyse SLA/KPI reports, conduct root-cause analysis, and provide insights for decision-making.
- Monitor AP age analysis and drive timely resolution of aged items.
- Review open purchase orders weekly, ensuring cleanup, closure, and proper alignment with procurement.
Qualifications:
- Bachelor’s Degree or equivalent 3-year qualification (NQF 7) in Accounting, Finance, or a related field.
Skills and Experience:
- 5 years’ experience in an AP/finance operations environment.
- Minimum of 2 years in a supervisory, team lead, or specialist AP role.
- In depth understanding of PTP processes.
