Serve as the main point of contact for clients and staff for the assigned caseload. Support with and oversee all administrative functions of caseload, including scheduling, providing feedback and support, and new client and staff onboarding.
Client Intakes
-Support with phone calls for clients inquiring about services
-Support with follow-up and document collection for all clients in the intake
process
-Support with the day-to-day administrative operations for the assigned caseload,
including
Scheduling support
-Staff support, including:
-Staff grievances
-Staff feedback
-Performance monitoring
-Reviewing staff who are inactive on cases and sending follow up
-Client and staff incident reports
-Scheduling: develop and maintain clinicians' and clients' schedules, maintain
appropriate client ratios, and be the scheduling point of contact for clients and staff.
-Coordinate care for clients with multiple disciplines and coordinate substitute clinicians
as needed.
-Support with and oversee coverage for client and staff cancellations.
-Oversee the Monthly Check-In Calls for all Clients and Staff for the assigned caseload
-Ensure parent and staff satisfaction
-Oversee the accuracy of client medical records
-Ensure all clients have up-to-date annual forms
Job Description
-Ensure all labels in EHR software are kept accurate, including services,
location, and BCBA
-Ensure client roster is kept up-to-date when any change in schedule is made
(ie increase or decrease in billable hours, change in location)
-Auditing of client records, timesheets, and session notes
-Monitor staff and client cancellations and provide feedback and escalate as needed
-Oversee the utilization of client-prescribed hours
-Have team members follow up with families to increase or decrease hours per
clinical recommendation
● Maintain and monitor metrics for assigned caseload
● Support with start of service procedures for the assigned caseload
● Support with interviewing technicians for the assigned case area
● Answer phone calls and respond to inquiries in a professional and timely manner
● Email and phone communication with families and staff
● Communicate with clients and families in a consistent, professional, and timely
manner
● Attend virtual networking events for the assigned area
● Overseeing receptionist duties and incoming calls, appointments, and inquiries
● All other duties as assigned
Required Skills Abilities
● Proficient in ABA services, terminology, and practices
● Excellent written and verbal communication skills, including phone and email etiquette
● Key characteristics: professional, strong ethics, adaptable, organized, detail-oriented,
and positive and compassionate attitude.
● Highly proficient with technology, including Excel, Google Workspace, EMR, and CRM
systems.
● Central Reach or Rethink software experience preferred
